What is RPA platform migration?

RPA platform migration is the process of moving an organization’s digital workforce from one RPA platform to another. For example, moving all your automated processes from Automation Anywhere into Microsoft Power Automate.

It also refers to consolidating your portfolio of digital workers in one RPA tool. Many organizations are currently using multiple RPA platforms for development, deployment, and orchestration. For a variety of reasons – such as standardizing RPA practices or reducing total cost of ownership – they are interested in consolidating their automated processes from multiple platforms into one RPA tool.

Why do organizations want to migrate their digital workforce to another RPA platform?

There are many reasons why a company or RPA program would want to switch RPA providers. They can range from one or a combination of the following:

• Another provider has more features and more capabilities that suit an organization or RPA program’s needs better
• Another provider democratizes automation more by enabling business users to design and deploy bots because the target platform is easier to use
• Their current provider is too technically complex, forcing companies to rely too much on IT to develop bots, delaying automation delivery and preventing scale
• Their current RPA platform is delivering underwhelming ROI
• Their organization is using multiple RPA platforms, creating disparate automation practices and driving up costs, so they’re looking to consolidate all automations under one banner
• They’ve found a more cost-effective option with better licensing or consumption-based offerings
• Their current provider has released a new version of their platform, but the bots on the legacy version are not compatible with the new one, demanding too much manual effort to upgrade
• Another RPA provider has more extensibility with an organization’s current enterprise architecture. Microsoft Power Automate is an excellent example of this where it can seamlessly enable automation with Microsoft’s suite of products like Azure, Office, etc.

What are the challenges of RPA platform migrations?

There are several challenges in migrating bots from one RPA platform to another. The most critical challenge is that each RPA platform specifies automated processes differently, so a bot from one RPA vendor won’t necessarily work in another RPA tool. Historically this meant that automated processes had to be manually redesigned for the destination RPA tool, requiring a lot of time and effort, and meant it was prohibitively expensive.

From a technical perspective, these are the reasons bots had to be rebuilt from scratch to work in another RPA platform:

• Each RPA tool uses structurally different approaches to how bots are scripted
• Data types available in one RPA platform might not be available in another and vice-versa
• Each RPA tool approaches exception handling differently
• Selector handling between each RPA tool is different
• Automations often have scripts embedded for functionalities that are not provided by out-of-the-box activities
• Sometimes automated processes are fundamentally based on queues
• Some RPA platforms have an entire queuing infrastructure, whereas others have none
• Some RPA programs have implemented hyperautomation with the use of machine learning and artificial intelligence. In many cases, these automated processes need to be entirely redesigned in their destination platforms

How do organizations typically migrate their RPA portfolio?

Historically, the only way organizations could migrate their RPA portfolios was to do it manually.

Automation developers would have to investigate every single automated process, understand what that process does, and then re-code it according to the specifications of the destination RPA platform.

How much does RPA platform migration cost when done manually?

The cost of manual RPA platform migration depends on several factors, including:

• The number of bots you want to migrate from your bot portfolio
• The current RPA platform you’re on and the destination RPA tool you want to migrate to
• The complexity of your automated processes

With that being said, a rough estimate of manual RPA platform migration is about $5,000 per bot and this amount doesn’t take into the account the ongoing costs (licensing fees, business value lost, etc.) while an automated process is out of production and being re-coded for the destination platform. If you’re migrating 100-150 bots for example, it can cost hundreds of thousands, up to millions of dollars to migrate those automated processes manually.

However, we can take all the guesswork out of the equation and provide you with a free migration estimate, no strings attached.

How much does it cost to migrate RPA platforms with Blueprint?

Migrating your bot portfolio to another RPA platform is entirely dependent on:

• The size of your digital workforce (how many bots you have and want to migrate)
• Your current RPA platform and the RPA tool you want to migrate to
• The complexity of your automated processes

While a fixed cost is not available, Blueprint can provide you with a free estimate for RPA platform migration. Some major advantages of migrating RPA platforms that aren’t factored into this estimate, are that Blueprint’s migration solution minimizes downtime, so you don’t lose business value when switching RPA tools. You also get the opportunity to analyze your bot portfolio and retire any bots that no longer make sense (instead of spending all that effort and money to maintain them), or optimize automated processes where applicable for fewer outages in the long term.

What is Blueprint’s RPA platform migration solution and how does it work?

Blueprint has developed an end-to-end RPA platform migration solution that accelerates migrations by 3x and reduces costs by 75% compared to manual migrations.

Our migration solution ingests bots from various RPA platforms and deconstructs those automations in Blueprint, enabling conversion and export into other RPA tools with minimal human intervention or development.

Bots are first imported into Blueprint using an import utility. Our Common Object Model (COM) which is Blueprint's mapping engine, deconstructs the source RPA language/script by understanding the different RPA activities and mapping them into a generic Common Object Model.

The ingested Bots are represented within Blueprint as Digital Blueprints, which contain visual process diagrams with interdependencies and associations maintained within the Blueprint platform. Each Bot step is represented as a process step.

You can then export an entire set of processes constituting one or multiple automations. Users can select or deselect individual elements for export to get what they want and choose a template of the target RPA tool into which the automation will be placed. Blueprint identifies the different sets of interconnected processes and presents them, automatically factoring for reused elements.

Upon export, specific actions and parameters are mapped directly into your automation development environment through Blueprint’s integrations with the major RPA tools. For each RPA platform, COM has independent mappings for import and export.

What is Blueprint’s Common Object Model (COM)?

Blueprint’s Common Object Model (COM) is a mapping engine that ingests data from different RPA platforms and deconstructs the automation elements from these major RPA platforms into generic representations, enabling conversion into other RPA formats.

Which RPA platforms can Blueprint help me migrate my portfolio of bots to?

Blueprint supports migrations between all the leading RPA tools, which tend to make up the vast majority of RPA platform migrations.

Typically, most of our customers are interested in moving from Automation Anywhere and Blue Prism into either Microsoft Power Automate or UiPath, which we have ample experience and support for.

What benefits/cost savings do I get by using Blueprint’s RPA platform migration solution?

When you import bots into Blueprint as part of your RPA platform migration, those automated processes are converted into Digital Blueprints. Digital Blueprints can be used by your RPA Center of Excellence (CoE), Business Analysts, Developers, and Citizen Designers to optimize those processes, or include additional process functionality and overlooked dependencies.

In the migration process, you centralize all automations in one visible repository that enables better RPA governance and proactive change management through instant impact analysis to maximize RPA uptime.

Blueprint also comes with rich analytics and dashboards for your ingested processes like the number of comments, images, size, complexity, and quality of each process, so you get invaluable transparency into your set of automations. You can use this to prioritize the work to be done.

Are there any case studies or real-world examples where Blueprint has helped a customer migrate their bots to another RPA platform?

Yes. We’ve recently published a case study featuring a major global telecom provider, who migrated over 15,000 task bots from Automation Anywhere onto Microsoft Power Automate.

70% of the process flow actions migrated into the Microsoft Power Automate platform required no human touchpoints, saving the customer 75% in terms of time and costs when compared to the investment they would have had to make if they had attempted a manual migration.

For more information, you can read the full case study here.
